Personal information policy

The Council respects your privacy rights and is committed to ensuring that it protects your details, the information about your dealings with the Council and other information about you available to the Council (“your information”).

Use of your information

Unless you are told otherwise, the Council will use your information to:

  • Deal with your requests and administer its departmental functions
  • Meet its statutory obligations
  • Prevent and detect fraud
  • Conduct surveys and research
  • Contact you with information about activities and events involving the Council or with offers which it thinks may be of interest to you

The Council may share your information (but only the minimum amount of information necessary to do the above and only where it is lawful to do so) with:

  • Other Departments within the Council (including the elected members)
  • Central Government departments
  • The Audit Commission
  • Law enforcement agencies
  • Other organisations which deal with or handle public funds
  • Organisations set up under acts of parliament
  • Organisations which provide community services
  • Contractors that process data onour behalf.

The Council operates a Customer Service Centre so that it can provide you with the best possible service. Minimal details about you that you provide to us and your dealings with the Council will be kept on a secure database so that Customer Services can deal with your future queries and ensure that the correct departments assist you.

The Council may also use and disclose information that does not identify individuals for research and strategic development purposes.

Information collected from the Council’s web site

The Council does not automatically capture or store personal information about you when you visit this site. The only information the Council collects on this web site is the information you choose to provide (in other words: on any form posted on this web site which you decide to fill in).

We want to improve our website so we need to evaluate how it is used. To measure and analyse information about visits to our website we use Sitestat, a Nedstat product. This uses your IP address to collect, amongst other things, internet traffic data and data about your browser type and computer. For more information about Sitestat and Nedstat, please see www.nedstat.com.  Additonaly we are currently trialing Google Analytics.

We also use cookies. A cookie is a small file which is stored on your computer when you visit a website. If you visit that website again, the cookie recognises you have made a repeat visit. The cookie only contains a unique number and does not hold any personal data. The cookie cannot be used to identify you on websites of third parties including Nedstat.

It is possible to configure your web browser to refuse cookies or to be informed if a cookie is set. For guidance on how to do this, please refer to the manual of your web browser.

We will not use the IP addresses or cookies to identify you personally.

Your rights

You have a right to see your information (subject to certain exceptions and payment of a fee). If you have any requests concerning your information or any queries with regard to the Council’s processing please contact foi@richmond.gov.uk.
